Executive Assistant (Part time) Location Rensselaer, NY :

The Healthcare Association of New York State (HANYS) is seeking an Executive Assistant (Part time) within the HANYS Services, Inc. company (HSI). Reporting to the Office Manager, this position will be responsible for all administrative support of the HANYS Marketplace (HMP).

This part time position is for 20 hours per week with an hourly rate between $25/hr. and $27/hr. A remote working environment maybe considered within the Capital region or wider Albany, NY area.

Key responsibilities include but are not limited to:

  • Administrative support for execution of all HMP marketing initiatives:
    • Compiling monthly partner reports
    • Maintaining quality of all HMP mailing lists
    • Maintaining details related to HMP vendor inquires including:
      • Vendor inquiry report
      • Submit vendor risk evaluation to Legal Dept.
      • Gather and distribute solution-specific collateral for HMP committee review.
    • Creating of checklists of marketing tasks associated with each HMP marketing agreement.
    • Tracking of HANYS Team Member?s visits to HANYS Member Hospitals and assembling collateral materials for those visits.
    • Logistical coordination with other departments within HANYS for numerous webinars
    • Scheduling of HMP partner calls.

Qualifications:

  • A high school diploma with at least five years of administrative experience, and excellent communication and organizational skills, with attention to detail, are required, associate degree in marketing or related field is preferred. An equivalent combination of education and experience sufficient to satisfactorily perform the duties of the job may be substituted.
  • Excellent writing and proofreading skills, as well as proficiency in Microsoft Office, are required.
  • Must maintain confidentiality and have the ability to work independently and as part of a team.
  • Able to prioritize and handle multiple tasks in an organized and efficient manner.
  • High degree of professionalism, poise and tact to facilitate and foster relationships with HANYS staff, its members and HMP Partners.
  • Demonstrate proficiency with executing e-mail marketing campaigns.
  • Experience with customer relationship management (CRM), and marketing automation is a plus.
